Suppliers:

The Guest Planners ("This Company" or "The Company") maintains an ongoing business relationship with high quality nationally and locally recognized suppliers. If your package includes a vehicle rental, we guarantee you will receive that type of vehicle class that you reserved or better from one of our suppliers. For packages including a hotel, The Guest Planners also reserves the right to modify your hotel reservation to a property we consider to be of the same or better quality. While we will try and accommodate your specific type of room request, your hotel reservation is not for a specific type of room. Your reservation is guaranteed with one of our suppliers upon our receipt and processing of your deposit or payment. For packages including transportation services, the transportation services will be provided by a reputable third party company. For all packages including excursions, the actual excursion will also be provided by a reputable third party company. The Guest Planners will not be liable in any way whatsoever for any issues between you and the transportation company, the rental car company, the hotel accommodations, the excursion supplier or any third party associated with this package. By signing making a deposit or payment of any amount, you also agree to the standard contract terms and conditions set forth by the third party company including but not limited to damaging the vehicles, conduct of passengers, the prohibition of firearms, explosives, fireworks, alcoholic beverages, decorations, smoking, glass containers, shoes with spikes, fuel containers, or generators.  

ADA Accessible:

Any person or group which requires an ADA accessible bus, hotel room, cabin, or vehicle, must inform The Guest Planners at the time of reservation.  

Limiting Terms and Conditions:
 
In the event of cancellation, postponement, or if the event is extended for any reason including those beyond the control of the event's producers or any other party such as inclement weather, The Guest Planners will not be liable for any increase in cost. All additional charges will be the liability of the “Guest”. The Guest Planners reserves the right to cancel any reservation and will remit a full refund to the cancelled party. The maximum penalty a party can claim against The Guest Planners is that equal to the total amount in which the specific party has paid to The Guest Planners.  The Client understands that any aspect of this package including the excursion is voluntary for each participant and no participant is required to participate in this package, tour, or excursion. Furthermore, The Client understands that his/her participation in the package, tour or excursion carries with it the risk of personal injury, property damage or death, to the individual, whether from accident or intentional misconduct of a third person. By signing this agreement or making a reservation or providing payment of any amount on behalf of all participants, The Client and its participants hereby accepts and expressly assumes all risk of such injury or death. The Client and each individual participant releases and discharges The Guest Planners, its officers, employees, and any other individual associated with The Guest Planners, from all liability arising out of, or in connection with The Client’s or individual’s participation in the package and excursion they have selected, including travel and liability arising from The Guest Planners’ negligence. For the purposes of this agreement, liability means all claims, demands, losses, causes of action, suits, or judgments of any and every kind that The Client, the individual participant or his or her heirs, executors, administrators, or assignees many have against The Guest Planners, or that any other person or entity may have against The Guest Planners, because of any death, personal injury or illness, or because of any loss of or damage to property, that occurs during the above described excursion and all excursions, packages, or trips the Client or Guest has selected, and that results from any cause including the negligence of The Guest Planners.  

Disclaimer:

The Guest Planners ("This Company" or "The Company") is acting as intermediary and agent for suppliers in selling services, or in accepting reservations or booking for services which are not directly supplied by this company such as accommodations, rental cars, meals, tours, ground transportation, event tickets, air travel, and cruises. This company, therefore, shall not be responsible for breach of contract or any intentional or careless actions or omissions on the part of such suppliers, which result in any loss, damage, delay or injury to you or your travel companions or group members. We shall not be responsible for any injuries, damages or losses caused to any traveler in connection with terrorist activities, war, insurrection, social or labor unrest, mechanical or construction difficulties, diseases, local laws, climactic conditions, abnormal conditions or developments or any other action, omissions or conditions outside the coverage against them. Under no circumstance is The Guest Planners to be construed as carrier under contract for safe carriage of the passenger or his or her baggage or belongings. The Guest Planners makes every effort to ensure the accuracy of its website at the time of publication. However, The Guest Planners cannot be held responsible for pricing or typographical errors. Should revision of itinerary of features become necessary or additional taxes or surcharges be imposed, any additional expense is the obligation of the tour participant. If the group hotel room block is exceeded, a comparable hotel will be substituted. All participants not traveling with a parent or guardian must be at least 18 years of age. Your retention of the reservation, tickets, vouchers, or booking after issuance shall constitute consent to the above and an agreement on your part to convey the contents here to your travel companions or group members.  

The Client, by engaging the company and making deposit and / or full payment for the package arrangement specified, acknowledges the position of the company as stipulated by the foregoing and agrees to hold the company blameless in making the arrangements on his or her behalf, provided same shall be made through generally acceptable suppliers at the time of the engagement, and further agrees that restitution of damages, if any are claimed, shall be sought directly from the suppliers. The client also agrees to the terms and conditions of the tour and services as set forth by the suppliers. Rates are subject to change without notice. Rental vehicles, hotel rooms, airline tickets, and tours and event tickets are subject to availability. Payment of deposit or full payment shall constitute consent of all provisions stated herein. 

While on an excursion, the Client, also known as the Guest, is responsible for their own personal belongings including but not limited to coats, cameras, handbags, passports, or monies. An excursion may be modified in circumstances beyond the control of The Guest Planners or our team partners.

Cancelation and Payment Policy for Excursions including Tours and Transfers:

For our Client's or Guest's safety, security, and convenience, The Guest Planners requires a payment by credit card at the time of the reservation for International Excursions and a 25% deposit payment by credit for Domestic Excursions. The Guest Planners will be happy to accept multiple credit cards from Guests for the same excursion. If a ship cancels a port of call or if The Guest Planners is unable to operate the Excursion, the Guest is entitled to a full refund. Unless otherwise stated for a specific excursion, The Guest Planners deposit and cancelation policy is as follows:

Domestic Excursions, Tours and Transfers which includes any location within the United States:
Deposit and Payment - 25% of Tour
Final Payment - The credit card on file will automatically be charged 3 days prior to the tour unless Guest expresses to us their desire to pay in cash on the day of the tour.
14 days or more prior to the date of your tour - half of deposit
4 to 13 days prior to the date of your tour - full deposit
3 days or less prior to the date of your tour - full cost of tour

International Excursions, Tours and Transfers which includes any location outside of the United States:
Deposit and Payment - Full amount of tour
14 days or more prior to your tour - No Penalty
8 to 13 days prior to your tour - 25% Penalty
4 to 7 days prior to your tour - 50% Penalty
3 or fewer days prior to your tour - 100% Penalty

Unfortunately, refunds cannot be provided if the Guest may cancel, deviate, leave, or otherwise not utilize all of the services scheduled to be provided by an excursion. Guests who elect to not utilize the transportation provided or leave the transportation in the middle of the tour, for example in a shopping area, will be responsible for making their own way back to the ship or final destination and at their own expense. Please note that all tour lengths noted are approximate.  

The Guest Planners offers all Clients and Guests the ability to purchase travel insurance from Access America or Travel Guard. The Guest Planners highly suggest the Clients and Guests purchase the travel insurance as it may include medical and cancelation benefits. The Guest and client acknowledges their ability to purchase this insurance..

Additional Information:

Please keep in mind that when traveling, you are most often a visitor in a foreign country. Therefore, some luxuries to which you are accustomed to may not be available. Experiencing and enjoying the local cultures, customs, history, and conditions, will enable our Guests to get the most of their excursion. In order to give the best service possible under the prevailing local conditions, with or without notice, the excursion itineraries and order of the actual tour may be modified or changed. Entrances fees are never included in the excursion rate unless stated on the actual excursion.

All charges and refunds to credit cards are made in US Dollars at the stated rates and tour prices posted on our website. If the rates are posted in a foreign currency such as Euros, the conversion to US Dollars will be calculated by the conversion factor + .02 as stated on www.XE.com for the date the reservation was confirmed. Any fluctuation in currency rates which are realized by the "Guest" as a result of the timing of these transactions are the responsibility of the credit card holder. Furthermore, foreign transaction fees imposed by credit card holder's credit card company or bank, are the responsibility of the credit card holder.

Within 72 hours of confirming your reservation, which is defined by making full payment, you will receive an e-mail confirmation from The Guest Planners. We kindly ask and ask you to be responsible to print this confirmation and carry it with you on your trip. If you do not have a computer or printer, please inform The Guest Planners at the time of reservation and we will mail you your confirmation. You are responsible for contacting The Guest Planners if you have either misplaced, cannot retrieve, or did not receive your confirmation by e-mailing Reservations@TheGuestPlanners.com

                                                            If your package includes a Rental Car:              

Taxes and Fees:
   
Unless otherwise stated in the reservation, the total cost of the rental does not include taxes and fees which are based on         current government and airport charges. Due to the fact that these taxes and fees are different for each airport, our rental car suppliers ask our “Guests” to pay the taxes and fees upon the pickup of the vehicle. These taxes are estimated to be between  $15 and $20 per day depending on the pickup location and type of vehicle.  

Mileage:
Unless otherwise stated in the reservation, the package does include unlimited mileage and the vehicle cannot be driven outside the State of Florida.  

Fuel:
The package does not include fuel. It is the responsibility of each individual renter to return the  vehicle with a full tank of gas or be subject to additional charges. The renter of the vehicle, at the time in which the vehicle is picked up, may opt to purchase a fuel option directly from the rental car company.  

Returning the Vehicle:
Unless otherwise stated in the reservation, the vehicle must be returned to the location in which the vehicle was picked up. Additionally, the vehicle must be returned by the date and time on the reservation. Late charges will apply if the vehicle is not returned as per the reservation. If you are unable to return the vehicle on time, please contact The Guest Planners at your earliest convenience. The vehicle must also be returned in the same physical condition as it was picked up. The driver of the vehicle will be held liable for any damage.

The Guest Planners is NOT responsible for any issues whatsoever related to the vehicle condition. The Guest will resolve all vehicle matters directly with the rental company.  

Credit Cards:
The car rental company assigned to our Guest requires a valid credit card and drivers license which are to be provided for each driver when the vehicle is picked up.  

Insurance:
It is the responsibility of each vehicle renter to determine if he or she has adequate insurance. The Guest Planners and the rental car company DO NOT provide complementary insurance. Insurance IS NOT included in the package. If the renter chooses, he or she may purchase additional insurance at the rental counter when the vehicle is picked up.  

Parking:
Parking fees are not included in the package. You may be subject to parking fees at the hotel and any activity in which you participate.  

Driver’s Age:
The Guest Planners may only rent vehicles to individuals 25 years of age and older. By providing your deposit or payment of any kind, you confirm that each driver is at least 25 years of age.      

Extras:
The renter, at their discretion, when the vehicle is picked up, may purchase “extras” directly from the rental car company. These “extras” may include a GPS navigation system, fuel options, or additional insurance options. 

The Purchaser has read, understands, and agrees to all terms and conditions as stated herein.
